Why can't my staff log into Shopify POS even though their PIN is correct?

A staff PIN that works everywhere except the register usually points to a missing Point of Sale permission or location assignment, not a broken app or a bug in POS itself.

What's going on

A staff member walks up to the POS register, enters their PIN, and gets bounced with an access-denied message, but nobody on-site can tell what permission is actually missing, and the person who could fix it isn't around. Store owners have described this exact scenario happening at multiple physical locations under the same account, with the same cryptic error text and no obvious cause in the moment.

The frustrating part isn't the error itself, it's that Shopify's POS permission model is deliberately locked down: staff can't grant themselves Point of Sale access, and depending on how the account is set up, even a manager standing right at the register may not have the admin-level permission needed to flip the switch. A two-minute settings fix turns into a wait-for-the-owner problem, especially during a busy shift or a new hire's first day.

The fix almost always lives in Shopify's own Users and permissions settings once someone with the right access looks at it. It's rarely a deeper technical fault, and it's not something a third-party app is built to touch.

Why it happens

Shopify intentionally separates who can use POS from who can manage POS access. The Point of Sale permission on a staff profile has to be turned on by someone with owner-level or full admin permissions, and separately, each staff account has to be assigned to the specific physical location it should log into. Either gap alone produces the same generic access-denied experience at the register, which is why it feels unresolvable to the person standing there without admin rights.

Account status compounds this: a deactivated profile, an incomplete invite, an unset or recently reset PIN, or an unfinished two-factor setup all block login with wording indistinguishable from a straightforward permissions issue. Add in plan limits on staff counts and locations, and there are several unrelated root causes that all surface as I can't log in at the exact same screen.

Check whether the staff member's Point of Sale permission is actually turned on

In Shopify admin, go to Settings, then Users and permissions, and open the staff profile in question. Confirm the Point of Sale permission is switched on, along with any specific POS permissions the role needs, like taking payments or applying discounts. Only the account owner or a staff member with full admin-level permissions can grant this, which is exactly why it turns into a deadlock: whoever is standing at the register often can't grant it to themselves, and if the owner isn't reachable, nobody on the floor can fix it. If you're the one locked out, ask someone with owner or full permissions to make the change from a desktop browser rather than the POS device.

Confirm the staff account is assigned to that specific location

Shopify POS access is scoped by location: a staff account can have Point of Sale permission overall and still be denied at a particular store if it hasn't been added to that location's staff list. In Settings, Users and permissions, open the staff profile and check which locations are assigned, then make sure the one they're trying to log into is included. This gap shows up often after a new location is added or a staff member moves between stores, and it produces the same generic access-denied message as a missing permission, so it's worth ruling out even when the permission toggle looks correct.

Verify the account and PIN are active, not deactivated or stuck mid-setup

A deactivated staff account, a pending invite that was never completed, or a PIN that got reset will all block POS login with wording that reads like a permissions error even though it isn't one. From Settings, Users and permissions, confirm the profile is active rather than deactivated, resend the invite if it's still pending, and have the staff member set or re-enter their POS PIN from their profile. If the store requires two-factor authentication for staff, an unfinished setup on that front can also present as a blocked login.

Rule out a Shopify-side outage before troubleshooting further

If this same error is showing up across multiple unrelated stores at once, check Shopify's status page for an active incident affecting POS or staff login before spending more time on permissions. When there's a known outage, the fix is simply to wait it out; rebuilding staff permissions or resetting accounts during an incident won't help and just adds changes to undo afterward.

Check your plan's staff and location limits

Shopify plans cap how many active staff accounts and locations a store can have, and POS Pro versus the free POS Lite tier changes what's available at a given location. If a store is at its staff or location limit, a new hire can't be granted POS access until an existing account is removed or the plan is upgraded, which again looks like an unfixable permissions error rather than a plan limit. Checking Settings, Plan, and Settings, Locations will confirm whether this is the real blocker.

Bottom line

Almost every can't log into POS report traces back to one of a few native Shopify settings, the Point of Sale permission, location assignment, account or PIN status, or a plan limit, rather than a bug in POS itself, and all of them are fixed for free in Settings, Users and permissions. The one genuine snag is that granting POS access requires owner-level or admin-level permissions, so if the only person who can approve it is also the person who needs it, someone else with full access has to step in. This is an account configuration issue, not something an app can solve.
