My POS staff got silently removed from their store locations after a Shopify update
A recent Shopify change to how POS and admin staff accounts are managed has left some merchants finding that staff quietly lost access to their retail locations.
What's going on
Woke up to a staff member who could log into POS at one store yesterday getting locked out today, with no location listed on their profile at all? You're not imagining it. Shopify has been consolidating how POS staff accounts are managed, bringing them closer to the same system used for admin staff, and while existing users and permissions are generally expected to carry over automatically, some merchants have reported that staff-to-location assignments didn't come through cleanly, especially in stores with multiple retail locations or multiple shops under one organization.
The practical symptom is simple: a staff member who used to clock into POS at, say, your downtown location suddenly can't, and when you check their profile, their assigned locations are blank, wrong, or limited to a single site instead of the several they used to have. On a busy retail floor this isn't just an annoying settings glitch, it can mean an employee can't open a register or process a sale until someone with admin access notices and fixes it.
The good news is that this is generally fixable from inside the Shopify admin without installing anything. It mostly comes down to knowing where staff location assignment lives now and understanding a couple of the defaults that can make a routine account change look like a bigger bug than it actually is.

If a staff profile was touched, recreated, or reinvited around the time of an update, this default behavior alone can produce results that look identical to staff being removed from a location, even without any underlying bug.
For merchants running multiple shops under one Shopify organization, there's an added layer: the ability to edit staff roles and locations across stores can depend on holding organization-level permissions separate from shop-level staff permissions. Someone who could previously manage staff locations for their one shop may find their changes don't apply organization-wide unless those broader permissions are granted.
5 ways to fix it
Re-check and reassign each staff member's locations in Settings
In Shopify admin, go to Settings and open the staff/users section, which is now also where POS staff accounts are managed. Open each affected staff member's profile and check their assigned locations. If it shows only one location or none, select the locations they should have access to, or choose all locations if that matches how they used to work. This takes only a few minutes per person and is the fastest way to get someone back into POS.
Check who has permission to manage staff across multiple stores
If you run more than one shop under a single Shopify organization, staff and location management can be split between shop-level and organization-level permissions. Someone who used to manage POS staff for a single shop may not automatically have the broader permissions needed to edit staff locations across the whole organization. Have whoever owns the organization confirm that the right people have organization-level staff management permissions, since missing permissions can make location changes look like they aren't saving.
Know that new or re-added staff can default to the wrong locations
How a staff member was originally added can affect which locations they default to, and this varies depending on whether they were set up from a POS device versus from the admin. If a staff profile was recreated, reinvited, or otherwise touched while troubleshooting, it can end up with different default locations than before, which looks identical to staff being removed from a location even when nothing was actually broken.
Build a quick check into your routine after Shopify changes
Staff location assignments live outside your theme and app code, so they are easy to overlook when Shopify changes how staff or POS accounts are managed. After any notice about staff or POS updates, spend a few minutes confirming every active staff member still has the correct locations and role. Keeping a simple record of who should have access to what makes it much faster to spot when something has changed.
Escalate to Shopify Support if locations still won't stick
If you've manually reassigned locations and they keep reverting, or a staff member's location settings won't save at all, contact Shopify Support directly rather than continuing to troubleshoot on your own. Give them the affected staff member's name, the store and locations involved, and mention that the issue started after a staff or POS management change. Support can check the account on their end for anything that isn't fixable from the admin.
