Why does my staff's POS PIN get rejected at every single location?

What's going on

A staff member types their PIN into Shopify POS to clock in and it's rejected — not just at one register, but at every location and device the store has. Re-entering the PIN carefully, restarting the app, and even generating a new PIN sometimes doesn't fix it, which is confusing because the account clearly exists and worked before.

This tends to show up right after a change: a new location was added, staff permissions were reorganized, someone else's PIN was reset, or the team just grew past what the current plan supports. Multiple Shopify merchants running more than one location have reported the exact same pattern — a PIN that used to work fine suddenly gets rejected everywhere, with no error message specific enough to point at the real cause.

Why it happens

Shopify POS PIN login checks more than just the 4-8 digit code: it also checks whether that staff account has Point of Sale access enabled and whether the account is assigned to the specific location the register is running at. If either of those was changed or never set — which commonly happens when a store adds a new location, reorganizes permission sets, or a plan change reduces available staff seats — the PIN itself can be completely correct and still get rejected everywhere, because the account isn't authorized to use POS at all right now.

Because the failure looks identical to a 'wrong PIN' error on screen, it's easy to spend time re-resetting the PIN over and over without realizing the actual problem is upstream in the staff account's permissions or location assignment.

Less commonly, the POS app on a device can hold a cached, outdated copy of the staff roster, so a permission or PIN change made in the admin hasn't propagated to that till yet.

Check that the staff account actually has POS access and location assignment

Open Settings > Users and permissions in the Shopify admin, click the staff member, and confirm two separate things: their permission set includes Point of Sale access, and they're assigned to the specific location(s) where they're trying to clock in. A staff account can look 'active' and still be invisible to POS if it was never granted access to that location, or if its role was scoped down during a permissions cleanup. This is the single most common cause of a PIN failing everywhere at once, and it's free to fix in a couple of minutes.

Reset the PIN instead of assuming the one you have is still correct

From the same staff profile, generate a brand-new PIN rather than re-entering the old one. PINs can get out of sync if someone reset it from a different device, if the staff member changed it themselves at a register, or if two team members were accidentally issued the same digits (Shopify keeps PINs unique per store, but a mis-entered duplicate during setup can still cause confusion about which account is actually logging in). A fresh PIN rules out stale-data issues in one step.

Log out and back into the POS app with the owner or a full-access account

On each device, sign out of the Shopify POS app entirely (not just lock the screen) and sign back in with an account that has full admin or store-owner access. This forces the app to re-sync the current staff list and permissions from Shopify's servers. If the POS app cached an older version of your staff roster before you changed permissions or reset a PIN, every device will keep rejecting the new PIN until it refreshes.

Confirm the staff member isn't deactivated or over a plan's staff-account limit

Some Shopify plans cap the number of staff accounts or POS staff seats you can have active at once. If a staff account was deactivated (intentionally or as a side effect of downgrading your plan or removing a location), its PIN will be rejected at every till even though the profile still exists. Check Settings > Users and permissions for an 'inactive' or 'deactivated' label, and check your current plan's staff limits if you've recently added locations or team members.

Contact Shopify Support if the account looks correctly configured but still fails

If POS access, location assignment, and the PIN all check out and the login still fails at every register, this can be a sync glitch on Shopify's side between the admin and the POS app backend. Support can look at the account server-side and force a resync, which is sometimes the only way to clear it when the front-end settings all appear correct.

Bottom line

Most 'PIN rejected everywhere' cases come down to a staff account missing POS access or a location assignment, not a broken PIN itself, so work through the admin-side permissions before assuming you need to keep resetting PINs.
